Refund and Cancellation Policy
At Moon Minds, we are committed to providing accessible and high-quality mental health services to our clients. We understand that life can be unpredictable, and sometimes you may need to cancel or reschedule your appointment, we are here to work with you in a fair and understanding manner. These policies outline the terms and conditions for refunds for our services.
Cancellation and Refunds:
If you need to request a refund for our individual session services, please do so 24 hours prior to your scheduled appointment, for an individual therapy session to avoid a cancellation fee. Cancellations with less than 24 hours notice will be charged the full session fee and will not be subject to a refund.
Here is an example:
If you have a session scheduled for 3 PM on June 5th and request a cancellation before 3 PM on June 4th, you will receive a full refund for the session.
If you have a session scheduled for 3 PM on June 5th and request a cancellation after 3 PM on June 4th, you will be charged the full session fee, and a refund will not be issued.
If you need to cancel a package, we will issue a refund based on the number of unused sessions remaining. The refund amount will be prorated based on the package price and the number of sessions you have already used.
For example, if you purchased a 4-session package and have used 3 sessions, your refund would be calculated as follows:
- Package price for 10 sessions minus unused sessions: 4 – 3 = 1 session(s)
- Refund amount of 1 session(s) will be processed.
Any cancellations with a package can only be made before you schedule the next session.
If you have scheduled a next session that scheduled session will be considered a used session in the package.
For example, if one has paid for 4 sessions, they have used two sessions. They have scheduled a session for 6th June at 4 PM. If they choose to cancel the package before 5th June 4 PM the session scheduled on the 6th will be cancelled and the amount for two sessions will be refunded.
On the other hand, one has paid for 4 sessions, and they have used two sessions. They have scheduled a session for 6th June at 4 PM. If they choose to cancel the package after 5th of June 4 PM, the session scheduled on the 6th will not be cancelled and the amount for only one session will be refunded.

Non-refundable services:
Free Consultations
As part of our commitment to accessibility, we offer free initial consultations and assessments for new clients. These consultations allow us to better understand your needs and determine the best course of treatment. While we are happy to provide this complimentary service, please note that free consultations and assessments are generally not eligible for refunds.
No-Show Appointments
If you miss your scheduled appointment without prior notice, it will be considered a no-show and will not be refunded. If you need to cancel or reschedule an appointment, please let us know as soon as possible, so we can work with you to find an alternative time that works for your schedule.
Similarly, when booking your appointment, please keep in mind that we require a 24-hour window before your scheduled session. This allows us to check our therapists’ availability and ensure they are fully prepared to provide you with the personalized care you deserve. By giving us 24 hours’ notice, we can confirm the appointment, make any necessary arrangements, and ensure your therapist is ready to focus solely on your needs during the session. This helps us deliver a seamless and high-quality experience.
Processing Refunds:
If you need to request a refund, we will process your request within 7-10 business days of receiving your cancellation request.
For example, if you submit your refund request on a Monday, you can expect to receive your refund within the following 7-10 business days, which would be by next Thursday or Friday at the latest.
Business days are Monday to Friday, also any public holiday is not considered business days.
Refunds will be issued through the original payment method you used to purchase our services. This means that if you paid by credit card, the refund will be credited back to that same card. If you paid by bank transfer or another payment method, the refund will be processed accordingly.
Exceptional Circumstances
We recognize that there may be special situations, such as a serious illness or emergency, that require extra consideration. If you find yourself in such a situation, please reach out to our team, and we will work with you to find a fair solution.
This policy applies to all services provided by Moon Minds.
